Broking firms employ business analysts to study and monitor the trends and opportunities across different organizations and verticals. These analysts come out with information and recommendations daily which help the traders to maximize profits or reduce losses. These recommendations are shared with different customer facing teams at various locations. This includes the relationship managers, service advisors and sub-brokers.
Currently organizations use email & SMS to brief the teams with recommendations or small conference calls are arranged to brief the teams before the trading hours. The teams then quickly call their respective customers and advise them on the strategy for the day.
The challenge here is that email and SMS are not interactive channels and apart from statistics and numbers very little can be communicated via these channels. Also accessing email on the move is difficult. And the rationale behind any recommendation can only be communicated using an interactive channel.
Avaya proposes an excellent solution for team collaboration called Meeting Exchange. All the relationship managers and security advisors can log on daily to the Meeting Exchange at a pre defined time from their respective locations or mobile phones. The session can be made collaborative using certain features of Meeting Exchange like audio conferencing with web conferencing where analysts can share their presentations.
These audio & web collaboration calls can also be recorded, so that participants who have missed the calls can access the information at a convenient time.
Organizations can also have a separate session for sub-brokers and for employees. The same can be followed by a SMS summarizing the tips for the day.
The biggest advantage of a Meeting Exchange bridge is that the participants can join even while commuting. Passwords for Meeting Exchange can be changed frequently and all participants can be informed about the new password via SMS.
